Opportunity Stages allow managers and members of a sales team to easily track their sales process. Setting up opportunity stages also enables sales forecasting and marketing efforts to be more accurate. As with a variety of settings in the system, you can customize the opportunity stages to fit your own business needs and classifications.
Administrator Authority Required
The setting up, changing, and deleting of opportunity stages is performed in the System Setup module. If your user profile is setup with Administrator Authority (SysAdmin), the Setup link will be displayed in the upper right-hand corner of the display screens next to the My Settings and Logout links. If you do not see the Setup link, then your user profile does not have the authority to access the system setup screens.
Accessing The Settings For: Opportunity Stages
Select the Setup link at the top of your screen. The System Setup Screen will then be displayed. In the submenu titled Lookup Tables, select the Opportunity Stages menu option.
The Opportunity Stages screen will then be displayed. An example is shown below:
Adding More Opportunity Stages
To add opportunity stages, select the New button. A form similar to the Edit form shown below will be displayed.
Making Changes To Opportunity Stages
To view, edit, copy, or delete opportunity stages, put a checkmark in the box beside the stage you wish to select. Then, select the appropriate button. For example, selecting the Edit button will display a form similar to the one shown below:
The name for the Opportunity Stage.
This option allows you to enter a numeric value that will be treated as the percentage of probability that the stage will become an actual closed sale. When the specific stage is selected, the Stage Probability will automatically be filled in, or changed, on the opportunity edit screen, and the 'Probability Amount' field will reflect the percentage of the 'Expected Amount' field.
Use Stage Probability
This option allows you to turn On/Off the use of the Stage Probability setting (set using the option above).
If you have the Pro Edition of the system, you have the option here to assign a Follow-Up Template to be activated automatically when the opportunity stage is selected. For example, if there is an activity, or series of activities, that occur each time one of your sales opportunities reaches a certain stage, you can have the system automatically create those activities (or send Emails, etc) by triggering a Follow-up Template that you have previously defined with all those activities.
The active checkbox allows you to activate, or deactivate, the opportunity stage.
To save any entries or updates, select Finish. The program will return to the previous screen and display the updated list of opportunity stages.
Select Back if you wish to discard any changes and return to the Opportunity Stages Screen.
Select Close if you want to discard any changes and also exit the Opportunity Stages section.
